Your operations sound off. Here's how to fix it with The Opera Model.

Business System and Notion Consultancy

Building AI-Centric Organisations.

Killing Duct-Taped Tech.

AI is rewriting how organisations operate—
and organisations held together by duct-taped tech won’t survive the shift.

Uh oh, someone’s fed up
with duct-taped tech

Find out how much you are losing
through duct-taped tech

Duct tape made you fast. Now it’s a drag.

You did the hard part. You found product–market fit.
You hired smart people. Revenue grew.

On paper, it looks solid. But behind the scenes? You’ve hit a new ceiling.

  • The real knowledge lives in a few heads — and they’re overloaded. Or gone.

  • Tools multiplied fast. Structure didn’t. Now information hides in five places.

  • Some clients get white-glove treatment. Others fall through cracks.

  • Your team works hard. Too hard. And still things move slower than they should.

  • New hires take ages to get onboard or are left alone finding their way.
  • You have a system — technically. But it depends on memory, goodwill and Slack archaeology.

This is a system maturity problem.

What got you here won’t get you to the next level. And duct-tape tech doesn’t scale.

What is System 🧠 Smart

A business systems consultancy that has helped fast-growing businesses reclaim control of their operations, by disolving siloed information, identifiying workflow bottlenecks, designing integrated systems, and aligning teams.

AI is rewriting how organisations operate—and many are struggling to keep up. At its core, this shift demands awareness, transparency, and access to information. Organisations held together by duct-taped systems won’t survive it.

Unlike most Notion consultants—who are mainly tool enthusiasts or sell quick-fix templates—I design smart systems that hold up when things scale, teams grow, and AI reshapes the landscape.

I’ve been preaching this for years:

Don’t just do the work. Think about how the work works.
Translate it into systems and connect everything as much as you can.

Founder of Mythograph

It’s the best immediate ROI I’ve ever gotten for my business.

My approach is shaped by 30+ years of designing and optimizing systems in high-trust environments — from CRM architecture at the Swiss Stock Exchange to workflows in private equity, city government, and fast-moving service businesses.

I don’t just focus on the tool.

At the center of my approach is a proprietary framework — the 3 Types of Knowledge — paired with a clear philosophy for building AI-centric organisations from the ground up.

The Building Journey of System Smart

Early 2000
Self-taught Programming

Natascha taught herself to program systems with FileMaker. A nocode product of Apple Inc. that still exists today and people wisper that Apple uses FileMaker for their internal operations.

Early 2000
Issue & expense tracking system & Lions Club member CRM

Working for a local trades craft business, running IT and phone cabling projects, we needed a system to track orders for phone numbers and expenses for our employees.

The manual process was completely replaced by central documentation, print-outs for information purposes or ordering via fax (oh, the old times).

Get more background information about this over at My Story.

My boss used to be a member at the Rotary and Lions Club and asked me if I could build him a member management system, because he headed the local chapter and wanted an easier way to get in touch with its members.

That was ages before Lions Club built their own international member directory — which makes it easy to get in touch with anyone worldwide.

2000 — 2007
Building CRM @ Swiss Stock Exchange

Built a marketing CRM for the New Market team who attracted new IPOs for that segment, implemented it with teams in Zurich and London.

Later migrated data into new company-wide system and got promoted to the 1st CRM Analyst at SWX Stock Exchange. Training compliance and new users in London and Zurich.

2007 — 2011
Building Private Equity Investor CRM

Building a investors CRM to track interactions with potential and existing investors, fund investments and run full-story reports with one click.

This allowed the sales team to prepare for their investment sales cycles or employees to get up to speed when looking after investors during our general assembly events (which I’ve also organised).

2013 — 2017
Building a politcal issue tracking system

The municipal counsal proposes changes or raise requests to the administration. Depending on the type of request, the lead times for answering or implementing them varied (6 months — 5 years). Those needed to be tracked through the different teams by the head of a department to assure timley replies.

Built a issue tracking system for every type of request and ability to issue status reports over all pending items at any moment (print outs).

2011 — 2019
My first business, building pricing and cake production system

Fleur de Sucre originally started as a creative outlet and became a professional hobby, once people discovered my creations and ordered their custom made wedding cakes.

This increased the need for a streamlined quoting system and cake production system.

New to this industry, I had to first find out what went into pricing and then how production line is best planned. All run from my own kitchen.

Check out my old creations over at Instagram.

2019
The pivotal moment

Late 2019 I discovered Notion and was immediatley smitten by the tool. The similarties to FileMaker were so obvious, I could immediately relate to the tool and start building systems.

2020
Building 1st Notion Wedding Planner System

Building on top of my knowledge about the wedding industry, my first paid template was to create a wedding planning system with Notion. Also designed the look and website for the template.

Check it out over at Notion Wedding Planner.

2021
The invitation

Early 2021 my Notion work got noticed by Notions community manager and was asked to become a Notion Ambassador. Became in February Switzerlands first Notion Ambassador.

2021
The Certification

Having access to an elite group of early Notion Ambassadors, I’ve found my tribe. This inspired me to go for a Notion certification and mid 2021 became the first German-speaking Notion Certified Consultant and the 24th (out of 130+ today) worldwide.

The Notion Certified Consultant program was then later replaced by the Notion Consulting Partner program.

2023
Building the LLC

Early 2023 I’ve founded my LLC called Asynch Works GmbH, created the brand Natascha Buck Consulting and built the first German speaking Notion learning resource: Der Notion Almanach.

2023
Expand Building Capabilities: Automation

Building connected systems in Notion meant that the technical limitation of the tool, every tool has that, became more apparent and I wanted to solve workflow issues for my clients beyond Notion.

I do believe that Notion can become the information hub of a company, but for that it should be able to receive data from outside sources or receive them. Instead of having a human do laborous copy/paste, let’s have automations built that can do that instead.

I started to teach myself how to program automations with Make, to achieve smoother workflows and increase data accessibility.

2023 — 2024
Building Productised Services

With the increasing demand, my services needed to be streamlined — similiar to the cake production — I needed to build a production line.

2025 — today
Building System Smart

Following the productisation journey, early 2025 made me realise that I wanted to build AI-centric organisations and that my prior brand Natascha Buck Consulting was too narrow with serving only German-speaking clients.

This led me to create SystemSmart.io to serve fast-growing teams struggling with keeping up with everything and trying to keep up with the advancements of AI capabilities.

Today, our main offer is The System Transformation.
